Hatch Theory Solutions (referred to in this policy as "Hatch Theory," "we," "us," or "our") is committed to protecting the privacy of individuals who visit our website at hatchtheory.ca (the "Site") and who contact us through it.
This Privacy Policy explains what personal information we collect, why we collect it, how we use it, and what rights you have regarding your information. It applies to personal information collected through the Site only. If you are a client of Hatch Theory, a separate Data Processing Addendum governs how we handle your business data during a consulting engagement.
This policy is governed by the Personal Information Protection and Electronic Documents Act (PIPEDA), S.C. 2000, c. 5, and applicable Ontario privacy law.
1. Who We Are
Hatch Theory Solutions is a trade operations consulting firm based in Georgetown, Ontario, Canada. We provide operational audits, CRM systems, and custom workflow automation for construction and home service businesses in the Greater Toronto Area.

2. What Personal Information We Collect
We collect personal information only when you voluntarily provide it to us through the Site. This includes:
Contact and inquiry information
- Your name
- Your business name and trade or industry
- Your email address
- Your phone number (if provided)
- The content of your message or inquiry
Booking and scheduling information
- Name, email address, and any details you submit when booking a diagnostic call through a scheduling tool linked from the Site
Website usage information
- Pages visited, time spent on pages, and general browsing behaviour, collected through standard analytics tools
- IP address and browser type (collected automatically by our hosting provider and analytics tools)
- Cookie identifiers (see Section 7 below)
We do not collect payment information through the Site. We do not collect sensitive personal information such as government-issued identification numbers, financial account details, or health information.
3. Why We Collect It
We collect personal information for the following purposes:
- To respond to inquiries and contact form submissions
- To schedule and conduct diagnostic calls with prospective clients
- To assess whether Hatch Theory's services are a good fit for your business
- To send follow-up communications related to your inquiry (see Section 6 for your rights)
- To improve the Site and understand how visitors use it
- To comply with applicable law
We identify the purpose for collecting your information at or before the time of collection. We do not collect information for purposes that are not listed here without your consent.
4. Consent
By submitting a contact form, booking a call, or otherwise providing your personal information through the Site, you consent to the collection, use, and disclosure of that information as described in this policy.
You may withdraw your consent at any time by contacting us at luca@hatchtheory.ca. Withdrawing consent will not affect our ability to fulfil any existing contractual obligations. Note that if you withdraw consent, we may no longer be able to respond to your inquiry or provide services to you.
For commercial electronic messages, you may unsubscribe at any time by replying to any email from us with the word "unsubscribe." We will honour unsubscribe requests within 10 business days.
5. How We Use and Share Your Information
We use your personal information only for the purposes listed in Section 3.
We do not sell, rent, or trade your personal information to third parties.
We may share your information with the following categories of service providers who assist us in operating the Site and communicating with you:

All service providers are contractually required to use your information only to provide services to us and to protect it in a manner consistent with this policy. Where your information is transferred outside of Canada (for example, to servers in the United States), it may be subject to the laws of that jurisdiction, including lawful access by government authorities.
We will disclose your personal information to a third party without your consent only when required by law, court order, or lawful authority.
6. Commercial Electronic Messages and CASL
If you contact us through the Site, we may follow up with you by email. These follow-up messages are commercial electronic messages (CEMs) governed by Canada's Anti-Spam Legislation (CASL), S.C. 2010, c. 23.
By submitting your contact information, you provide implied consent to receive follow-up communications from Hatch Theory related to your inquiry. This implied consent is valid for two years from the date of your last contact with us, unless you withdraw consent sooner.
To unsubscribe from communications from Hatch Theory, reply to any of our emails with the word "unsubscribe." We will process your request within 10 business days and will not contact you again for commercial purposes.
7. Cookies and Tracking
The Site uses cookies and similar tracking technologies. Cookies are small text files stored on your device when you visit the Site. We use them to:
- Understand how visitors navigate the Site (analytics)
- Improve page performance and user experience
- Remember preferences (if applicable)

When personal information is no longer needed, we securely delete or anonymize it.
9. Safeguards
We take reasonable technical and organizational measures to protect your personal information from unauthorized access, loss, use, disclosure, or destruction. These measures include:
- Encrypted data transmission (HTTPS) on the Site
- Access restricted to authorized personnel only
- Use of reputable third-party service providers with their own security practices
No method of internet transmission or electronic storage is completely secure. While we take reasonable precautions, we cannot guarantee absolute security.
In the event of a privacy breach that poses a real risk of significant harm to you, we will notify you and the Office of the Privacy Commissioner of Canada as required by PIPEDA.
10. Your Rights Under PIPEDA
Under PIPEDA, you have the right to:
- Access: Request a copy of the personal information we hold about you
- Correction: Request that inaccurate personal information be corrected
- Withdraw consent: Withdraw your consent to the use or disclosure of your information (subject to legal or contractual limitations)
- Deletion: Request that we delete your personal information, subject to legal retention requirements
- Complaint: File a complaint if you believe we have not handled your information in accordance with PIPEDA

If you are not satisfied with our response, you may contact the Office of the Privacy Commissioner of Canada at priv.gc.ca or 1-800-282-1376.
11. Quebec Residents
If you are a resident of Quebec, this policy is also subject to Quebec's Act Respecting the Protection of Personal Information in the Private Sector (Law 25). Under Law 25, you have additional rights, including the right to data portability and the right to be informed about the use of automated decision-making affecting you. 12. Children's Privacy
The Site is not directed at individuals under the age of 18. We do not knowingly collect personal information from minors. If you believe we have inadvertently collected information from a minor, contact us at luca@hatchtheory.ca and we will delete it promptly.
13. Links to Other Websites
The Site may contain links to third-party websites. This policy does not apply to those websites. We encourage you to review the privacy policies of any website you visit through a link from our Site.
14. Changes to This Policy
We may update this Privacy Policy from time to time. When we do, we will update the "Last Updated" date at the top of this page. Material changes will be communicated by posting a notice on the Site. Continued use of the Site after changes are posted constitutes acceptance of the updated policy.
